Office Administrator - University Relations

The Office Administrator supports the Office of University Relations providing assistance to all areas including Alumni, Institutional Grants, Database Donor Research and Financial. This position will be responsible for performing complex and confidential administrative related functions to ensure assigned department operations flow smoothly. Prepares correspondence, memos and reports, and is responsible for various associated administrative functions such as budgeting or developing complex spreadsheet, tracking reports. Will provide guidance, direction and information to supervisors and other members of the University community relative to University Relations that may arise. Responsible for overall front office activities, including the reception area, mail, purchasing requests and requests to facilities as well as responsible for directing and coordinating office services and other related activities.
 
Major Responsibilities Include

  • Customer Service: greet visitors and provide excellent telephone assistance; initiate call back where indicated to ensure that caller receives correct desired information.
  • Resource Person: be knowledgeable of events and projects within the Department of University Relations and the University as a whole.
  • Donor & Alumni Contact: disseminating materials as directed and noting in Raisers Edge.
  • Supervise students in general office work handling all associated paperwork and compliance requirements.
  • Assume responsibility for multiple projects including historic file archiving.
  • Maintain calendar for Executive Director and shared department calendars providing assistance in keeping abreast of various project & meetings. Make reservations for outside lunches for various directors and arrangements for campus visitors as requested.
  • Assist with editing and copying reports for the Development Committee of the Board of Trustees as well as the Report to the Board.
  • Take minutes at the Development Committee meetings of the Board of Trustees and prepare minutes for distribution.
  • Responsible for all office management requirements including coordination with other University departments, selection and purchase of office equipment; USPS & FedEx mailings, general ledger notations by department area, file maintenance and supply inventory & organization.
  • Some night and weekend work required; may require some travel.

Qualifications and Experience

  • An Associates or Bachelor’s degree preferred. Demonstrated leadership and management skills. Ability to work effectively in a team environment. Excellent oral and written communication skills as well as interpersonal skills.
  • Five to seven years related experience and/or training or equivalent combination of education and experience
  • Must possess the ability to make independent decisions when circumstances warrant, including handling projects to completion.
  • Must have high level of interpersonal skills to handle sensitive and confidential situations and deal tactfully with all members of the UB community. Position continually requires demonstrated poise, tact and diplomacy.
  • Must have knowledge of a variety of computer software applications in word processing, spreadsheets, database and presentation software, (MSWord, Excel, Access, PowerPoint). Knowledge of Raiser’s Edge helpful.
  • Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines. Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.
