The Procedure
All food requirements are provided by Sodexho Campus Dining Services. The Special Events Office must be notified prior to Sodexho; we request that you confirm your room reservation at least two weeks prior to ordering any catering service. Specific room requirements, such as the number of tables, and table arrangements should be made at this time.
Please contact Sodexho at (203) 576-4086 for all catering needs. In order to properly prepare for your special event, ample time is needed to arrange for staff and food deliveries. All catering should be booked no less than 14 days in advance of your event. Of course, the more time given for the preparation of the event, the better we will be able to serve you. If you wish cocktails or wine, Sodexho will be happy to provide you with a bartender and set-ups.
Meal Guarantees
Regardless of the size of the function, the guarantee is the final estimate given to the Catering Manager. this number should be submitted no less than 72 hours prior to the event, and will be the number used when billing. In the event the actual attendance exceeds the 100% guarantee figure, the bill will reflect the actual number served. If the number of guests expected changes after the guarantee figure is given, you should call the Catering Manager to determine if accommodations are possible.
Cancellations
If an event is to be cancelled, we must receive written notice of the cancellation 72 hours prior to the function to ensure that no charge will be made. If cancellations are made after the deadline, any charge made for the cost involved will be at the discretion of the Food Service Director.
