Secretary – College of Naturopathic Medicine

Responsibilities will include providing secretarial support for the college of Naturopathic Medicine, especially for the Associate Dean.  May also provide support to the college admission division, the Dean of the college and others within the College of Naturopathic Medicine.

Job Duties

  • Communicating information both in writing and verbally to Faculty, staff, students, and the general public.
  • Answer department telephones.
  • Acting as contact point for adjunct faculty; disseminating various forms. Maintain student and faculty records.
  • Prepare accurate Name, Address and Telephone lists of Students and Faculty each semester.
  • Distribute class lists, grade sheets etc. to faculty.
  • Print and distribute, or mail, contracts, and letters providing by the Associate Dean.
  • Process daily mail (ingoing and outgoing);
  • Order office supplies
  • Help with preparations for college functions including accreditation.
  • Compiling and maintaining student access lists.
  • As needed proctor exams for ADA students and occasional make-up exams.
  • Provide secretarial and administrative support to academic staff

Requirements

Associate's degree in Business Administration preferred. High School Diploma or Equivalent and 5 years' general secretarial background required. Background should include word processing and spread sheet management. Experience with Microsoft Word, including performing mail merge and Excel, and e-mail required. Ability to establish complex records and files; assemble and organize data and information and  prepare reports from such materials. Prior experience in a health science profession is highly desirable.

Excellent written and oral communications skills required. Good organizational and analytical skills required as well as the ability to work independently and as part of a team.
